About PRN files

A .PRN file is a raw print-to-file output generated by a printer driver. When a user selects the 'Print to File' option in Windows or macOS, the operating system bypasses the physical printer and saves the page description instructions directly to disk. Depending on the target printer, this file contains specific, hardware-dependent languages like HP PCL, PostScript, Microsoft XPS, or Zebra ZPL. Software like Ghostscript or an XPS viewer can sometimes open these files, provided you know the exact language the driver used. Indian Customs EDI Systems also generate .PRN files for Bill of Entry records, and legacy Lotus 1-2-3 used them for plain text exports.

.PRN files are extremely restrictive. Their primary disadvantage is hardware dependency. A .PRN generated for an HP LaserJet using PCL will output hundreds of pages of gibberish if sent to a Canon printer expecting UFR II. They are not supported by standard web browsers, document editors, or mobile devices. They trap your document in a raw, compiled format that cannot be edited, searched, or easily shared with colleagues.
