An .OLM file is an archive created by Microsoft Outlook for Mac. It stores a user's local emails, contacts, calendars, tasks, and notes. Internally, the file operates as a standard ZIP container filled with complex XML data and base64-encoded attachments.
The main disadvantage of an .OLM file is severe vendor lock-in. The file is proprietary to the macOS version of Outlook. If you switch to a PC, you cannot open an .OLM file in the Windows version of Microsoft Outlook, which strictly uses PST and OST files. This creates a massive headache for users migrating between operating systems. Furthermore, these files frequently exceed tens of gigabytes, making them cumbersome to transfer and highly prone to corruption.
To access this data outside of a Mac, users must convert the .OLM file. The most practical conversion targets are PST for Windows Outlook compatibility, MBOX for universal email clients like Apple Mail or Thunderbird, or PDF to permanently archive specific email threads. Note that converting to MBOX usually drops calendar and contact data, preserving only the emails.
